A personal Outlook account connects a single user's Microsoft 365 mailbox to Tekst. The user signs in with their own account and authorizes access. This is the right choice for an individual connecting their own mailbox.
Keep in mind that a personal connection is tied to that user's sign-in: if their password changes, or your organization introduces or enforces MFA, the connection will stop syncing until the user reconnects. For a more resilient setup, most organizations should use an organization-wide Outlook account instead. See the "Outlook integration: personal vs organization-wide accounts" article for the full comparison.
Permissions
Connecting a personal account requests delegated Microsoft Graph permissions on behalf of the signed-in user (user.read, mailboxsettings.read, mail.readwrite, mail.send, plus the .shared variants if you enable shared mailbox access). For the full list and what each one does, see Microsoft Graph permissions Tekst requests.
Tekst will never delete emails.
Step 1: Navigate to Integrations
On the Tekst platform, open Integrations from the navigation menu.
Step 2: Add a new integration
- Click Connect Integration in the top-right corner of the Integrations page.
- In the modal that appears, select Outlook from the list of providers.
Step 3: Choose the account type
When prompted, select Personal Outlook account.
If you also need to process emails from shared mailboxes this user can access, enable Allow access to shared mailboxes. You can add the specific shared mailboxes in a later step. If your security policy requires the narrowest possible access, you can also enable Ask for minimal permissions.
Step 4: Authorize access
- Click Connect Account. You are redirected to Microsoft's sign-in page.
- Sign in with the Outlook account you want to connect, if prompted.
- Review the permissions Tekst is requesting and approve them.
- You are returned to Tekst's setup wizard automatically.
Tekst processes data in real time and does not store your mailbox contents, in line with GDPR and enterprise security standards.
Step 5: Configure and finish
The wizard guides you through the remaining steps - confirming the connected account, selecting what to sync, and reviewing your settings. Click through each step and finish setup. Editing an earlier step resets the steps after it; Tekst will warn you before this happens.
Once you finish, the integration status changes to Connected and Tekst begins syncing. You can optionally enable backfilling to include historical emails.
Next steps
- To add shared mailboxes to this account, see Add shared and child mailboxes.
- To give Tekst's category labels custom colors in Outlook, see Enhance the appearance of Tekst categories in Outlook.
- If the connection fails or later stops syncing, see the "Troubleshoot the Outlook integration" article.
